The right tool makes social work accountable

Begin with the work. Does the company need one marketer to schedule three channels, a customer-care queue operating across shifts, regulated approvals, dozens of branch accounts or executive reporting tied to leads? These situations require different products.
Avoid selecting from a generic “best tools” ranking. Platform APIs, supported networks, feature limits and subscription tiers change. Create requirements, test with live workflows and verify current vendor documentation before contract.
Map channels, assets and responsibility
Inventory every social profile, ad account, pixel, catalogue, audience, lead form, creator relationship and recovery method. Record the legal owner, business owner, current administrators and channel purpose. Include dormant pages that still carry the brand.
Classify work into planning, production, approval, publishing, community engagement, customer service, listening, paid collaboration and reporting. Name the person responsible for each step and the response window expected.
Identify high-risk content: product claims, regulated topics, promotions, competitions, customer data, employment issues, emergencies and executive statements. The selected system should support the firm’s real approval route, not force reviewers into screenshots and messaging groups.
Use native tools as the baseline
Native platform tools usually offer the earliest access to platform-specific formats, permissions and insights. Test whether they already satisfy the workload before adding an external layer.
LinkedIn documents Page roles such as super admin, content admin and analyst, each with different capabilities. Its Page admin dashboard includes content management and performance information. A B2B team with one company Page may be able to operate effectively through those native controls.
TikTok Business Center provides central management for accounts and assets. Its current documentation distinguishes admin and standard access and includes additional finance roles. Asset permissions allow teams and partners to work only with assigned resources.
Keep platform ownership inside company-controlled business accounts. An agency should receive partner or role-based access rather than owning the brand’s primary asset.
Define publishing and calendar requirements
A scheduler should support the networks, account types and post formats the organisation actually uses. Test text, images, video, documents, carousels, stories, location tags, mentions, first comments and link handling. “Supports Instagram” does not mean every Instagram format is supported.
Build a calendar view that shows campaign, audience, objective, channel, owner, approval, asset and intended next step. A coloured date box without a content brief does not create coordination.
Test preview accuracy and mobile cropping. Check whether video covers, captions, accessibility text, thumbnails and links survive publishing. Some features may still require native completion; document those exceptions.
For multiple brands or locations, require filters and permissions that keep teams from posting to the wrong account. Audit history and version comparison become more important as contributors increase.
Build approvals around risk, not hierarchy alone
Define content classes and the reviewer required for each. A routine service update might need one brand check; a financial, legal, health or pricing claim may need a subject specialist and compliance; a crisis statement follows incident command.
Test whether the tool supports conditional workflows, comments, change requests, version history, final approval and publication lock. Email approval links may be useful for occasional executives, but access and audit evidence must remain controlled.
Store approved claims, disclaimers and assets in a maintained library. Do not assume a reusable caption remains accurate forever. Add expiry or review dates for offers, prices and volatile information.

Test assignment, tags, internal notes, collision detection, saved replies, escalation and service-level reporting. Two agents should not answer the same customer differently. Internal notes must never appear in a public reply.
Create queues for sales questions, support, complaints, fraud reports, job enquiries, media and high-risk allegations. Route cases to the operating team while preserving context. A social manager cannot resolve a payment or delivery failure without system access and authority.
Saved replies should provide structure, not robotic repetition. Agents must adapt them to the issue and avoid requesting private information publicly. Move verification into a secure approved channel.
Add listening only when the team can respond
Listening platforms can monitor brand names, spelling variants, products, campaigns, executives, competitors and topic language across supported sources. Coverage differs by network, account access, geography and public visibility.
Pilot with known Nigerian mentions and local expressions. Check whether the product finds relevant conversations without overwhelming the team with unrelated uses of a common word. Build exclusions and language rules over time.
Define what each alert changes. A service complaint becomes a case, a fraud account goes to security, a media question reaches communications, a product theme informs research and a crisis threshold activates the response plan.
Do not collect information merely because it is public. Consider purpose, access, retention, platform terms and applicable data-protection obligations. Listening is a research process, not permission to enrich every author into a sales record.
Compare analytics by decision level
Native analytics are the reference for platform-specific definitions. Third-party tools can consolidate accounts and normalise reporting, but the totals may differ due to API timing, attribution and metric definitions.
Review content through relevance, not just reach. Track which audience, format, topic and action produce qualified site visits, leads, service resolution, applications or sales. A viral post seen outside the market may contribute little business value.
Use tracked links and landing pages, then connect source information to the CRM where lawful. Platform conversions, web analytics and sales records should be reconciled rather than added together.
For customer care, report response, resolution, reopen rate and recurring cause alongside public engagement. A fast first reply is weak if the customer remains unresolved.
Protect accounts through permission design
Use business-account roles, partner access and least privilege. TikTok and LinkedIn both document role-based capabilities; review each platform’s current model and give users only what their job requires.
Require individual accounts and multi-factor authentication. Store recovery methods under company control. Avoid password sharing through chat, spreadsheets or a former employee’s telephone number.
Review administrators, partners, finance access, pixels, catalogues, lead forms and connected apps on a scheduled basis. Remove people immediately after offboarding and revoke unused integrations.
Test the management tool’s own roles. A user who only drafts content should not export leads or change billing. Maintain an incident plan for account takeover, malicious posting and compromised agency access.
Apply the NDPA to social operations
Nigeria’s Data Protection Act 2023 applies to personal-data processing within its scope. Social systems can process names, profiles, messages, lead forms, complaint details and behavioural data. Assess lawful purpose, transparency, minimisation, access, retention, security and vendor arrangements with qualified input.
Do not copy direct-message histories into a CRM without a defined reason and appropriate handling. Restrict sensitive service cases, identity documents and payment evidence to approved systems. Delete exports and test accounts according to policy.
Review lead-form privacy notices and follow-up expectations. A platform submission for a guide is not permission for unlimited WhatsApp, email and telephone promotion. Preserve relevant source and preference evidence.
Consider cross-border vendors, subcontractors, AI features and training uses. Disable automated summarisation or model training where the data risk exceeds the approved purpose.
Assess content and asset production features
Some tools provide media libraries, templates, resizing, captions, transcription and AI assistance. Verify output quality, brand controls, rights, accessibility and approval. Convenience does not establish permission to use an image, audio track or customer post.
Maintain source files, licences, consent and expiry for every reusable asset. Separate paid advertising rights from organic repost permission. Creator contracts should cover channel, duration, editing and disclosure.
AI can assist drafting, but factual claims and tone require human review. Do not use it to fabricate customer stories, executive views or local events. Record material edits when governance requires traceability.
Connect social tools to CRM and service platforms
Define which signals deserve transfer. A qualified lead form, explicit consultation request or unresolved customer case may need a CRM or ticket. A reaction or follower usually does not.
Map fields, deduplication, consent context, source, owner and status. Test error handling and ensure a failed integration creates an alert. The customer should not repeat information after the handoff.
Close the loop. Sales returns accepted, rejected, meeting and opportunity status; service returns resolution and root cause. This evidence improves targeting and content more than follower growth.
Avoid connecting tools simply because an integration exists. Every connection expands permissions, data movement and maintenance. Document the owner and removal process.
